I direct a project management office for a high-volume creative agency. We eliminated the need to manually update 200+ active projects as templates, workflows, and automations improve. Our work management system is Asana.
Challenge: Long-active projects no longer reflect the latest standards of our project management office, since they were created before the template’s latest update
Our detail-rich data tracking relies on custom fields. We occasionally update these fields, and need each project to accurately reflect them.
Project rules automate routine tasks, like marking a deliverable as on hold, in progress, and complete. Manually adding all of these rules for each project is a recipe for human error.
Our project management office shares a few universal “first steps” to set up each project. Our team was bouncing between Asana and process documents to ensure we followed each step.

The project bundle stores custom fields in a library for our organization, so we can update those fields in one place.

The project includes a pre-built task with the “first steps” to set up the project based on the PMO’s process. It’s automatically assigned to the selected project manager so they have the process in Asana rather than a separate document or window.

We’ll leverage custom approval tasks with selections that align with our organization’s jargon, instead of “changes requested” and “rejected,” as soon as custom tasks are added to bundles
We’ll filter and sort fields in project templates so each project looks similar at launch as soon as default filtering and sorting is added to bundles
